BOOKING TERMS & CONDITIONS


Prices

Prices are not listed on this website and bookings cannot be made online. We will provide a written quotation for enquiries received with accurate rates at the time of the request. All prices quoted are subject to change until the booking is confirmed with an official confirmation invoice.

Deposits and payment
Deposits vary between 25 and 50% of the overall price depending on the time of year and on the individual property; the required amount of the deposit will be advised at the time of booking. A booking is deemed accepted on payment of deposit. Final payment is typically due 12 weeks prior to arrival, but this again can vary depending the time of year and the property; the balance due date will be indicated on the confirmation invoice. If payment is not received by the due date we reserve the right to cancel the reservation and the deposit will be retained and a further cancellation charge may apply. Deposits and balance payments are non-refundable. Payments can be made by bank transfer or selected credit cards as detailed on your confirmation invoice.

Tax & service charges
Tax and service charges vary by destination, and prices quoted will clearly state if they are inclusive or exclusive of such charges. Taxation is beyond the control of Private Hideaway Villas and in the event of any changes occurring between the time of booking confirmation and travel date that will require a change in the holiday cost, this additional amount will be charged accordingly.

Property descriptions and photography
The content on our website’s property pages is based on the information we reliably receive from the properties’ owners or management companies. Whilst we make every effort to ensure that the information on the site is kept up to date, we cannot be held responsible for inaccurate information provided to us or for changes not being made known to us. If we are made aware of any significant changes after a booking has already been confirmed, we will inform the client of this prior to their departure. If the client decides to cancel at this point there may be cancellation charges. The photographs featured on our website are to provide a general impression of each property; we cannot accept responsibility for changes made to any furniture, colour schemes, views or other details since the photographs were taken.

Staff and other services
The staff and other services listed on each property webpage on our website are what we understand to be included in the price. We will reconfirm all inclusions at the time of enquiry. Any additional staff or services may be requested at the time of enquiry; we will do our best to arrange this and will advise of any additional costs incurred.

Check-in / check-out times
Check-in and check-out times can vary depending on the property. Check-in times are typically from 3pm and check-out times by 10am; however, final check-in and check-out times will be advised on in the final documentation. An earlier check-in or later check-out can be requested and will be subject to final confirmation with the owner depending on the arrival and departure of previous/subsequent guests, and so may not be confirmed until near to the travel date.

Occupancy numbers
Property prices are usually based on a maximum of two occupants per bedroom; any additional occupants in a bedroom may incur extra costs, which are advised at the time of enquiry. Additional guests for dinner/drinks may be permitted; this is subject to the approval of the owner or manager and additional charges may apply.

Security/damage deposits
Most property owners require an additional deposit to safeguard against damages to the property and its contents. In some destinations the deposit is requested to be paid on arrival directly to the property’s owner or management representative, or else it may be requested by us prior to departure. The security deposit amount varies depending on the property, and will be advised by us at the time of booking along with the required payment method. At the end of the stay, the amount paid will be refunded back to the guest provided there are no damages to be settled.

Cancellation by you
Deposits and balance payments are non-refundable. It is therefore recommended that travellers take out comprehensive travel insurance that covers cancellation of a booking. All cancellations must be received by us in writing.

Cancellation by us
If we become aware of any significant change to your chosen accommodation we may have to cancel your booking. In such circumstances we will aim in conjunction with the property owner / management company to find a suitable alternative or negotiate any refund on your behalf. We shall not be liable for any other costs, expenses or damages arising from the cancellation.

Bookings affected by Covid-19
If a booking is affected by Covid-19-related travel restrictions imposed by the UK government or the government of your booked destination amounting to the closure of borders or travel becoming illegal, we will revert to the cancellation policy of the property’s owner or management company. This may include a credit towards a future stay or, in some instances, a refund. We therefore ask that you check at the time of booking what the policy would be in this instance. Any ATOL-protected bookings will be governed by the Package Travel Regulations.

Force majeure
We accept no responsibility for the disruption or cancellation of a holiday caused by ‘force majeure’, in other words any unforeseeable situations beyond our control such as war, civil unrest, terrorist activity, pandemics, natural disasters, adverse weather conditions, accidents or breakdowns. Travellers must ensure they have adequate travel insurance that would enable them to claim with their insurance company in such instances.

Building works outside the property
Neither Private Hideaway Villas nor the property owner bear responsibility for any noise or disturbance outside the property which is beyond the control of the property owner. In the event that we receive prior notification of any nearby building works or disruption, we will advise the client immediately and will assist in finding an alternative if required. If an alternative is offered at a higher price, the client will need to cover the additional cost.

Use of the property
The use of the property is strictly for private holiday purposes, and for the number of guests specified in the rental contract. No parties, weddings or other large gatherings are allowed in the property without written permission. The property owner/manager has the right to evict a guest and terminate the booking if found in breach of contract. In such instances, no refund will be given for any unused nights.

Children
If travelling with children, it is the client’s responsibility to ensure that they are supervised at all times. Property damages will be charged for and we bear no responsibility for personal accidents to any guest. 

Initial food requirements
On request, we can arrange for groceries to be stocked at the property (some properties may not offer this service) ready for guests’ arrival. Additional charges will apply.

Transfers and car hire
We can arrange services such as transportation and car hire. Additional charges apply. Any transportation, excursions or car hire that clients choose to book or pay for whilst on holiday are not part of the package holiday provided by us. For any such transportation, excursions or car hire, the contract will be with the operator of the service in question and not with Private Hideaway Villas. We are not responsible for the provision of the service or for anything that happens during the course of its provision by the operator. 

Passports, visas & health requirements
It is the responsibility of every member of the party to check they have a valid passport and/or visas and any required inoculations for the destination to which you are travelling. Private Hideaway Villas cannot accept responsibility for party members failing to produce or provide the necessary documents.

Insurance
It is a compulsory requirement that all party members have the necessary insurance cover to protect for medical needs, cancellation, flight delays, force majeure, travel disruption cover and personal liability. Private Hideaway Villas bears no responsibility for any travel insurance not meeting the requirements needed for a claim.

Responsibility
Private Hideaway Villas acts only as agents for accommodations and assumes no responsibility for property loss or damage, nor liability for injury, accident, delay or irregularity which may be caused either by reason or the acts of any company or persons engaged in conveying the passengers to or from their accommodations. If Private Hideaway Villas is forced to permanently cancel the booking made by the client due to the sale or unavailability/double booking of the villa, then best efforts will be made to offer another property of equivalent standard. If the price of the alternative property is less, the difference will be refunded to the client, but if the price is higher the client must pay the difference. If no suitable alternative is available, we will offer a refund. No compensation will be offered.

Complaints
In the unlikely event that you have a complaint or find something does not meet your expectations, we encourage you to report your complaint immediately to the house staff or local contact allowing them the opportunity to resolve any issues. In the event that your complaint is not handled to your satisfaction we require full information in writing to us within 15 days of check-out, and we will work with our supplier to obtain a reasonable solution once the complaint is upheld.
